Q4Q  Conference Terms and Conditions

These Terms and Conditions set out the conditions for participating in the Quest for Quality 2020 Conference, at Croke Park, Dublin, Ireland on the 27th-28th October, 2020. All the terms of this agreement are legally binding, so please read them through carefully.

The Quest for Quality Conference 2020 (hereinafter: “Conference”) is the organizer.

The “Client” (this covers anyone on whose behalf the Client’s or delegate’s reservation is made) means the person (including legal persons) placing the order. Persons agreeing to delegate booking shall be deemed to have authority to do so by those on whose behalf they are acting or purporting to act.

The subject of the Contract between the parties is the right to attend the Conference by booking a ticket via the Eventbrite registration platform on the Quest for Quality Website. The Client or delegate may attend the Conference according to the ticket validity and upon payment.

The Client is responsible for arranging and paying for his/her own accommodation, travel and other expenses related to attending the Conference.

Orders placed with the Organizer shall constitute a contract when the Client books directly through eventbrite and has been confirmed by the Organizer. The Organizer will issue a delegate badge upon the Client check-in at the Conference’s registration desk.

Bookings may be made up until the day before the Conference (subject to any delegate fee being paid).

The booking is strictly for the person named on the registration form. The Organizer endeavors to cater to all delegates; however, should a delegate have any special needs or requirements, the delegate should contact the Organizer with details of their requirements no later than one week prior to the Conference.

Payment is required upon order confirmation and must be made immediately. Payment must be made either by credit or debit card or by invoice on the Eventbrite registration platform via the Quest for Quality website at the time of booking.

It is assumed that the Client has booked a reservation and made payment for the selected ticket type at the published price on the day of payment. Prices can be both extra-early bird, early bird student pass, researcher pass and regular prices, and vary for a full-two days attendance ticket or for one full-day attendance ticket.

The Client has the option to make a 3+1 group registration, to book a group ticket for 4 attendees at the price of 3 and get one free ticket.

All additional payments to the Hotel or some other provider that are not included in ticket coverage will be invoiced and paid for personally by each Client.

Should you be unable to attend the Conference, you must give written notice to the Organizer, according to the cancellation terms described here;

If cancellation is made 30 days or more prior to the first day of Conference, the Client may choose between a refund of 100% of the price, or transferring the reservation to another delegate.

If a cancellation is made less than 30 days prior to the first day of the Conference, the Organizer will not provide a refund or credit, but may transfer the reservation to another delegate.

Cancellation by Client during the Conference and refunding is not possible.

The Organizer reserves the right to reschedule or cancel the Conference. Where the Organizer is required to cancel or reschedule the Conference, the Organizer will honor the reservation for the rescheduled date or, if the Conference is not rescheduled, issue a full refund.

The Organizer can only issue a letter of support if the ticket is already paid for. If the Client does not get a visa before 14 days prior to the Conference, the Organizer will refund 100% of the fee. The Client must contact the Organizer to obtain such a letter of support.

Photographs, video or voice recordings  made by Client or delegate of speakers, sessions, and the venue can be used only by the organizer. Any video streaming of the sessions is prohibited including, without limitation, complete recording of any data, information, or results related to the Conference and any participant. As a condition of entry to the Conference you assign to the Organizer the copyright to any photographs or recordings you make or appear in at the Conference.

The Conference may be video or voice recorded and photographed by the Organizer and notes of the discussions during the Conference may be made by the Organizer and all such materials may be used for publication.

The Organizer collects, processes, uses or discloses the personal data about all persons who pre-register to, register to or in any way participate on the Event either as participants, speakers/performers, sponsors or exhibitors, as described in more details in our Privacy Policy.

The Organizer will perform audio, video and photographic documentation of the Conference. Such materials may be used for promotional purposes, including publication on websites and on social networks.

The Organizer reserves the right to refuse admission and to remove persons from the premises for any reason whenever necessary to ensure public safety. The Organizer also reserves the right to conduct security searches to ensure the safety of persons at the Conference.

In the interests of public safety the Organizer reserves the right to request that the Client leave the venue at any time for safety reasons or immediately after the Conference. No admission or readmission is permitted after the end of the Conference.

The conference organizers shall make reasonable provisions for security in the Exhibition Hall during off-hours. Every reasonable precaution will be taken to protect property during the Conference. However, neither the Organizer nor Croke Park are responsible for the safety of the property of participants from theft, damage by fire, accident, vandalism, or other causes. Participants are strongly advised to take out a protective insurance policy against theft, damage, etc., of their property.

The conference organizers shall not be held liable for any injury or damage to persons or property resulting from or arising out of this Conference.

In the event of fire, all persons attending the Conference should use such entrances as designated by Croke Park. Croke Park exits and gangways must be kept free from obstruction and the fire signs must be visible at all times. In the event of an alarm sounding all guests should vacate the specific function room and assemble at the designated meeting points.

The Client shall not bring alcoholic beverages from outside the venue for consumption during the Conference at the venue.

Should the Client be refused entry due to public safety reasons or removed from the conference for any reason of public safety or upon Croke Park’s instructions, the Client is not entitled to any claim for refunding or damages.

The Organizer reserves the right to change the event program at any time and does not guarantee that the program will be carried out, nor does it guarantee the Client’s satisfaction with the program and/or the event.

The Organizer is not responsible for the views or opinions expressed by session leaders, sponsors, or other participants.

The Organizer accepts no liability for any loss, injury, or damage, howsoever caused, to the bearer of such loss, injury, or damage, except where the loss, injury, or damage is caused by the willful default or gross negligence of the Organizer or its employees.

Many of the services to be provided at or in connection with the Conference, such as services provided by hotel companies and transport operators, are provided by organizations independent of the Organizer. Whilst the Organizer accepts liability that may arise as a result of any willful default or gross negligence of their own employees, they do not accept any liability whatsoever arising from any acts of default of independent organizations, their employees, or agents over whom the Organizer has no control.

The Organizer is unable to accept responsibility for any aspect of the arrangements relating to the Conference affected by matters over which they have no control (Force Majeure), including war, or threat of war, riots, civil strife, terrorist activity, natural disaster, weather conditions, fire, flood, drought, accident, malicious damage, compliance with any law or governmental order, rule, regulation or direction, or technical, mechanical, electrical, telecommunication, or internet breakdown within any premises visited by delegates in connection with the Conference.

If the fulfillment of our obligations as set out in these Conditions is delayed by Force Majeure, we shall have the right to suspend, without liability, the further fulfillment of our obligations until such time as the cause of delay is no longer present.

If for any reason these terms and conditions are unenforceable in part, the validity of the remaining provisions shall not be affected.

This contract shall be governed by Irish law and the parties hereby submit to the exclusive jurisdiction of the Irish courts.
